Invitations

An invitation is a per-person link that lets one named address join your company with a role and teams you chose in advance. The Invitations page is where you watch them, resend them and revoke them.

What it does

The table lists every invitation with the email, the company role, the teams it pre-assigns, its status, its expiry date and how many times it has been sent.

How an invitation behaves:

  • It is per person, tied to one email address.
  • It expires after 14 days.
  • It carries the company role and the per-team roles you chose. They are applied when it is accepted.
  • It can be revoked, and the link stops working immediately.
  • Resending rotates the link. The previous link stops working, which is what makes resend the right response to a link that was forwarded to the wrong person.
  • Accepting is idempotent — the same person accepting twice gets the same result and is never charged a second seat. A different account cannot accept an invitation that has already been used.
  • company_owner cannot be granted by invitation. Ownership is transferred, not invited.

Email is not configured on Roadmap Flow today. Creating or resending an invitation gives you a link with a Copy button, and you deliver it. The page says so rather than implying a message is on its way. Do not tell people to check their inbox.

Invitations are created here or on People — the same dialog, reached from two places.

When to use it

  • Any time somebody joins your company and you want their role and teams right from the first sign-in.
  • A contractor who needs read-only access — invite them as a viewer, which uses no licensed seat.
  • Somebody says their link does not work: resend, which issues a fresh one.
  • Somebody forwarded their link to a colleague: revoke it, or resend it to kill the forwarded copy.

When not to use it

  • For a person who is already an active member. Roadmap Flow refuses it; change their role on People instead.
  • As a shared sign-up link for a group. That is what a join code is, and it is a different trade-off — see Invitations or join codes.
  • For somebody outside your company. An invitation grants company membership and usually a licensed seat you are paying for.

3-minute flow

  1. Open Invitations and click Invite person.
  2. Enter the address, choose the company role, tick their teams.
  3. Click Send invitation.
  4. Copy the link from the dialog. This is the only time it is shown.
  5. Send it to them however you normally reach them.
  6. Check back in a few days — anything still Pending has not been acted on.

Best use cases

  • Onboarding where the role matters: a billing admin who must not see roadmap content, invited as one from the start rather than downgraded later.
  • A quarterly clear-out of pending invitations that were never accepted, so the page shows real state.
  • Replacing a link somebody pasted into a group chat, in one click, without disturbing anyone else.

Common mistakes

  • Closing the link dialog before copying. Resend to get a new one — it is safe.
  • Telling somebody to "check their email". They will not get one.
  • Sending the same person a second invitation instead of resending the first. Roadmap Flow refuses a duplicate pending invitation and points you at the existing one.
  • Assuming a pending invitation is holding a seat. Under the default policy it holds nothing; the seat is taken when they accept. If you want the strict behaviour, change the seat policy on Company settings.

Availability
